The Challenges

In the trading and distribution world, speed and accuracy are everything. Sandeep Enterprises' legacy workflow relied on Tally for basic accounting, Microsoft Word for print formats, and complex Excel spreadsheets for reporting. This setup created severe operational bottlenecks.

To overcome these challenges, Sandeep Enterprises decided to move away from manual processes and multiple systems. By implementing ERPNext, all business activities—from sales and purchasing to inventory and accounting— were brought onto a single integrated platform.

Modules & Processes Implemented

1. CRM & Sales

Everything now starts in the CRM module. The sales team captures a Lead, converts it to an Opportunity, and generates a Quotation. With a single click, an approved quotation becomes a Sales Order.

The Impact: Zero data re-entry. Initial Lead and Opportunity details flow into the final invoice with a single click. Complete visibility and control over inventory, stock movements, and warehouse operations.

2. Inventory Management

Inventory operations were centralized through ERPNext, providing complete visibility and control over stock movements and warehouse activities.

• Created a centralized Item Master with complete product information.
• Configured multiple warehouses to match actual business operations and stock locations.
• Implemented an Auto-Reorder System that generates Material Requests automatically when stock levels fall below predefined thresholds.
• Used Stock Entry for warehouse transfers and instant physical stock adjustments.
• Performed Stock Reconciliation for opening stock uploads and inventory corrections.

3. Buying (Procure-to-Pay)

Purchasing was transformed from a manual process into a structured workflow.

The process now starts with a Material Request, which is converted into a Purchase Order and then into a Purchase Receipt when goods arrive. This ensures that every purchase is properly tracked from requirement to receipt.

4. Finance & Accounts

After moving from Tally to ERPNext, accounting became fully integrated with sales, purchases, and inventory.

With sales, purchases, inventory, and accounts connected on a single platform, financial transactions are recorded automatically and accurately. Purchase Invoices are linked with Purchase Orders and Purchase Receipts, ensuring that every bill matches the goods received and the original purchase commitment.

The team now has access to real-time financial information directly from the system.
