The Challenges

  • Business operations were managed across multiple systems, Tally used for basic accounting, Microsoft Word for print formats, and complex Excel spreadsheets for reporting.
  • Since information was spread across different tools, it was difficult for the team to get a complete picture of the business.

The sales team can now easily capture a Lead & move it to an Opportunity, then to a Quotation and finally to a Sales Order, with just a single click & without entering the same information again.

Quotation Print formats were standardised & were given a professional look with all information neatly captured.

Followup on Quotation now became super easy & everyone had an eye on the open quotations. The sales team can now quickly generate and send the right quotation, making the overall quotation process faster and easier.

2. Inventory Management

Inventory operations were centralized through ERPNext, providing complete visibility and control over stock movements and warehouse activities.

  • Stock management was also simplified through automatic reordering, Stock Entry for moving or adjusting stock, and Stock Reconciliation to keep system stock matched with the actual physical stock.
  • Managing serialized items has also become much easier. The team can easily track the movement of each serial number for both inward and outward transactions using the Serial Number Ledger Report.
  • The team can now check stock across multiple companies and warehouses directly from the Stock Balance Report. Since the data is live and real-time, they no longer need to depend on individual teams or separate sources to understand their current stock position.

3. Buying (Procure-to-Pay)

Purchasing was transformed from a manual process into a structured workflow.

Earlier, the purchasing process was mostly handled manually. Now, the team starts with a Material Request, creates a Purchase Order, and records the Purchase Receipt when the goods arrive. This makes it easier to track each purchase from the initial requirement to the final receipt.

The Procurement Tracker and other related reports also help the team keep track of the complete buying process.

Purchase Invoices can be linked with the Purchase Order and Purchase Receipt, making it easier to check whether the bill matches the goods ordered and received. The same connected process is followed for sales as well.

The Payment Entry workflow helps them follow their approval process.

For bank reconciliation, the team uses the Mint app, which has made the reconciliation process much easier, especially since they manage data from multiple bank accounts.
