Sandeep Enterprises ERPNext Implementation Success Story

About Sandeep Enterprises

Established in 1986, Sandeep Enterprises is a trusted supplier of industrial tools, machinery, welding equipment, air compressors, and workshop solutions. Serving customers across North Bengal, Sikkim, Bhutan, and Nepal, the company has built a strong reputation for quality products, reliable service, and long-term customer relationships.

With nearly four decades of industry experience, Sandeep Enterprises continues to provide complete equipment solutions to businesses, government organizations, and industrial customers.

The Challenges

In the trading and distribution world, speed and accuracy are everything. Sandeep Enterprises' legacy workflow relied on Tally for basic accounting, Microsoft Word for print formats, and complex Excel spreadsheets for reporting. This setup created severe operational bottlenecks.

To overcome these challenges, Sandeep Enterprises decided to move away from manual processes and multiple systems. By implementing ERPNext, all business activities—from sales and purchasing to inventory and accounting— were brought onto a single integrated platform.

Modules & Processes Implemented

1. CRM & Sales

Everything now starts in the CRM module. The sales team captures a Lead, converts it to an Opportunity, and generates a Quotation. With a single click, an approved quotation becomes a Sales Order.

Streamlining Sales (Order-to-Cash)
Lead → Opportunity → Quotation → Sales Order → Sales Invoice → Payment Entry

The Impact: Zero data re-entry. Initial Lead and Opportunity details flow into the final invoice with a single click. Complete visibility and control over inventory, stock movements, and warehouse operations.

2. Inventory Management

Inventory operations were centralized through ERPNext, providing complete visibility and control over stock movements and warehouse activities.

  • Created a centralized Item Master with complete product information.
  • Configured multiple warehouses to match actual business operations and stock locations.
  • Implemented an Auto-Reorder System that generates Material Requests automatically when stock levels fall below predefined thresholds.
  • Used Stock Entry for warehouse transfers and instant physical stock adjustments.
  • Performed Stock Reconciliation for opening stock uploads and inventory corrections.
Mastering Inventory Control
Stock Level Dips → Auto Material Request → Instant Purchasing Alert

3. Buying (Procure-to-Pay)

Purchasing was transformed from a manual process into a structured workflow.

The process now starts with a Material Request, which is converted into a Purchase Order and then into a Purchase Receipt when goods arrive. This ensures that every purchase is properly tracked from requirement to receipt.

Optimizing Procurement (Procure-to-Pay)
Material Request → RFQ → Supplier Quotation → Purchase Order → Purchase Receipt → Purchase Invoice → Payment Entry

4. Finance & Accounts

After moving from Tally to ERPNext, accounting became fully integrated with sales, purchases, and inventory.

With sales, purchases, inventory, and accounts connected on a single platform, financial transactions are recorded automatically and accurately. Purchase Invoices are linked with Purchase Orders and Purchase Receipts, ensuring that every bill matches the goods received and the original purchase commitment.

The team now has access to real-time financial information directly from the system.

  • Real-time Financial Statements
  • Accounts Receivable (A/R) and Accounts Payable (A/P) tracking
  • Balance Sheet and Profit & Loss reports
  • GST-compliance
  • Bank Reconciliation for accurate financial records
This enables management to monitor the financial health of the business at any time and make informed decisions.

5. Real-Time Dashboards & Business Insights

To provide better visibility into business operations, customized workspaces were created with dynamic filters, color-coded number cards, and interactive charts.

Key business metrics such as sales, purchases, inventory value, receivables, and payables are now available at a glance. Instead of relying on manually prepared Excel reports, the team can access real-time business insights directly from ERPNext.

6. Customized Print Formats

To meet Sandeep Enterprises' business requirements, customized print formats were designed for:

  • Sales Invoices
  • Quotations
  • Packing Slips
  • Transhipment Letters
  • Other key business documents

This enabled the company to generate professional, standardized documents directly from ERPNext while reducing dependency on manual Microsoft Word templates.

Business Impact

Working closely with the Sandeep Enterprises team, our focus was to simplify daily operations and reduce dependency on multiple systems.

Sales, purchasing, inventory, and accounting processes are now connected and streamlined. With customized dashboards, automated workflows, and real-time reporting, the team has better visibility into business operations and can make faster, data-driven decisions.

Today, Sandeep Enterprises operates on a single integrated ERPNext platform, providing better control, improved efficiency, enhanced visibility, and a strong foundation for future growth.
