FountainHead School transformed its admission process through a customized digital solution built on ERPNext and integrated with its In House Academic Application. The tailored admission workflows, combined with seamless API integration between both platforms, eliminate duplicate data entry, streamline operations, and provide a connected admission experience.

• Secure Digital Inquiry: Parents verify their mobile number through WhatsApp OTP before submitting inquiries.
• Smarter Admissions: A single inquiry supports multiple children, while intelligent campus recommendations guide parents to the most suitable campus.
• Automated Lead Management: Every inquiry is converted into a Lead with campus-wise allocation, role-based ownership, structured follow-ups, SLA monitoring and automated notifications.
• Operational Visibility: Dedicated PRO and LMS Setup workspaces, along with customized reports, provide real-time insights into inquiry progress, counsellor performance and admission activities.
• Connected Student Records: Student details captured in In House Academic Application are created as Customer records and transferred to ERPNext through API integration, ensuring accurate customer data availability across both systems without duplicate entry.

The result is a faster, more transparent and scalable admission process that enhances the experience for both parents and admission teams.

📦 Material Requests:

Material Requests were seamlessly integrated between FountainHead School's , In House Academic Application, and ERPNext through customized APIs, allowing departments to continue working within their In House Academic Application while automatically synchronizing requests to ERPNext.

• Department-wise Responsibilities: Role-based User Permissions restrict users to their assigned Item Groups, allowing each department to monitor inventory and raise Material Requests only for the items under its responsibility.
• Purpose-based Material Requests: Material Requests are primarily created for Material Issue and Purchase, ensuring the appropriate inventory or procurement process is initiated.

This structured approach improves inventory planning, accelerates procurement and enhances operational visibility across the campus.

🛒 Procurement:

Procurement follows ERPNext's standard purchasing workflow. A Material Request (Purchase) is followed by a Request for Quotation, where supplier responses are recorded as Supplier Quotations. The Supplier Quotation Comparison report helps evaluate quotations and create Purchase Orders from one or multiple suppliers. Received materials are then processed through a structured Purchase Receipt Workflow before inventory is accepted, followed by Purchase Invoice creation.

• Purchase Receipt Workflow: A multi-level approval workflow ensures every Purchase Receipt is validated before inventory is accepted. The first approval is performed by the role with the highest stock control permissions, while the final approval is completed by the role with the highest accounting authority, verifying the accounting impact and Accounting Dimensions before the document is submitted.

🗃️ Inventory Management:

Inventory is managed using ERPNext's standard stock transactions, with Material Issue used for internal consumption, Material Receipt for receiving inventory, and Material Transfer for warehouse movements. Reports like Stock Ledger and Stock Balance provide visibility into stock movements, stock in, stock out, and available inventory levels.

A structured Material Issue Workflow ensures proper inventory and accounting control. After a Material Issue is raised, the Accounts Department reviews the accounting impact, verifies the appropriate expense account, and provides final approval before submission, ensuring accurate stock updates and financial records.

💰 Accounting & Financial Planning:

Accounting operations were streamlined through ERPNext's standard accounting features, including transaction management and financial reports such as General Ledger, providing accurate financial tracking and visibility. In addition, customized financial planning solutions were implemented to enhance revenue forecasting and budget monitoring across the institution.

Income Forecast:

• Developed a customized Income Forecast module to estimate annual revenue based on Academic Year, student strength, fee structure and discounts.
• APR–May adjustments align Academic Year projections with the Fiscal Year, while the Income Variance Report compares projected and actual income.

Income & Expense Budget Vs Actual:

• Introduced a customized Income and Expense Forecast DocType, enabling users to define budgets for all Profit & Loss accounts for a selected Fiscal Year.
• Developed an Income & Expense Budget Vs Actual report that compares budgeted income, expenses and profit against actual financial performance, providing management with real-time visibility into budget utilization and financial performance.

📊 Accounting & Inventory Dimensions:

Accounting & Inventory Dimensions play a key role in FountainHead School's financial and inventory management by enabling transactions to be analyzed across multiple business perspectives without expanding the Chart of Accounts. The solution leverages dimensions throughout procurement, inventory, student fee collection, projects and fixed assets to deliver meaningful operational and financial insights.

• Dimension-Based Tracking: Transactions are tagged with dimensions such as Academic Year, Grade, School Event, Project and Cost Center.
• Granular Reporting: Financial and inventory reports can be filtered by a single dimension or a combination of dimensions for deeper analysis.
• Better Business Insights: Reports including the General Ledger, Profit & Loss Statement, Balance Sheet and Stock Ledger provide clear visibility into income, expenses and inventory movement across academic years, grades, events and projects.

💳 Student Fee Collection:

Student fee collection was integrated with its In House Academic Application, enabling fee invoices and payment details to be transferred to ERPNext for accurate financial processing while eliminating duplicate data entry.

• Automated Synchronization: Quarterly student fee invoices and payment records are seamlessly transferred from its In House Academic Application to ERPNext.
• Streamlined Fee Accounting: Based on the payment requirements, Journal Entry or Payment Entry records are created in their In House Academic Application and fetched into ERPNext, ensuring accurate recording of student fee collections.
• Accurate Financial Records: Integration between academic and financial operations ensures consistent revenue tracking, transaction traceability, and reliable accounting records.

📋️ Project Budgeting:

A customized Project Budgeting solution was developed in ERPNext to strengthen budget planning and cost monitoring for infrastructure development and maintenance activities. Projects are categorized as Maintenance or Asset Creation, enabling better financial control throughout the project lifecycle.

• Custom Project Budget: A customized budget table captures project area, rate, estimated budget, actual area, and remarks, providing structured budget planning for every Project.
• Project Budget Report: A customized report compares budgeted costs with actual expenses, providing real-time visibility into project budget utilization.
• Comprehensive Cost Tracking: Project costs are automatically consolidated from Purchase Invoices, Stock Entries, and Asset-related transactions for accurate cost monitoring.

These customized enhancements provide greater financial visibility, enabling teams to monitor project performance and make informed infrastructure investment decisions.

🏢 Fixed Assets:

Fixed asset management was extended to support both direct asset purchases and infrastructure projects through a structured asset capitalization process, ensuring accurate valuation and financial tracking throughout the asset lifecycle.

• Structured Asset Capitalization: Asset in Progress projects are treated as Composite Assets until completion, where stock consumption, service expenses, existing assets, and other project costs are consolidated into a single capitalized asset for accurate valuation and financial reporting.
• Asset Categories: Assets are organized into defined categories, with each category linked to its respective accounting configuration for consistent asset accounting and financial postings.
