Weigh It, Wash It, Bill It Right: ERPNext for a Commercial Laundry

Commercial laundry businesses have a unique challenge: customers are usually billed based on the number of items washed, while the actual cost of processing those items depends largely on their weight. Water, electricity, detergents, machine capacity, and processing time are all influenced by the total weight of each laundry load.

To address this requirement, GreyCube Technologies developed Pure Clean, a custom Frappe application built on top of ERPNext for a commercial laundry business in Saudi Arabia.

The goal was to extend ERPNext with laundry-specific functionality while keeping the standard Sales Order, Sales Invoice, and accounting workflows unchanged.

Managing Item Weight

Pure Clean adds weight management directly to the existing Item Price setup. Each item can have a defined weight per piece in grams, allowing the system to calculate the total weight automatically based on the quantity ordered.

For example, when a customer orders bedsheets or towels, the system automatically calculates:

• Weight per piece
• Total weight for each item
• Total weight of the complete order

These calculations are also performed on the server when documents are saved, ensuring that the weight information remains accurate even when orders are imported or updated quickly.

Checking Washing Machine Capacity

Machine capacity is another important part of laundry operations. Pure Clean introduces Machines and Chemicals masters to manage washing equipment and the chemicals used for each job.

When machines are selected for a Sales Order, their capacity is fetched automatically. Before the order is submitted, the system compares the total order weight with the combined capacity of the selected machines.

If the machine capacity is insufficient, the system prevents submission and clearly shows the difference. This helps prevent overloaded machines and ensures that orders are planned according to actual washing capacity.

Automatic Pricing for Quick Washes

Some customers require their laundry to be processed faster and are willing to pay an additional charge. Pure Clean introduces a Washing Priority option with Normal and Quick selections.

A manager can configure the Priority Rate % in Pure Clean Settings. When an order is marked as Quick, the system automatically increases the price based on the configured percentage instead of requiring staff to calculate or enter the additional amount manually.

This keeps express-wash pricing consistent across orders while still allowing supervisors to adjust the percentage for individual Sales Orders when required.

Tracking Stained Items

Stained laundry often requires additional treatment and follow-up. Pure Clean adds Spot In and Spot Out tracking directly to Sales Order items.

A dedicated Spot Report provides the current balance for each customer and item. When a new order is created, the existing spot balance can also be displayed so that staff can easily identify outstanding stained items before processing the next batch.

Understanding Cost and Profitability

One of the key requirements was to understand profitability based on the actual cost of washing laundry.

Pure Clean uses cleaning and material accounts configured at the company level to calculate the cost of washing. The Customer Profit Based On Weight report calculates the cleaning cost per kilogram and uses the customer's total washed weight to determine the estimated cost and profit.

This provides management with a clearer view of how much revenue and profit is generated from customers based on the actual weight of laundry processed, rather than treating every item equally.

The application also provides reports for Sales Order weight, machine-wise processing, customer-wise item weight, collections, and customer loyalty. These reports help management monitor both operational and financial performance.

Simple Setup, Standard ERPNext Workflow

Pure Clean is designed to work alongside standard ERPNext rather than replacing its core functionality.

After installation, the administrator can configure the priority rate, washing machines, chemicals, cleaning accounts, material accounts, and item weights. Users can then continue creating Sales Orders and Sales Invoices through the familiar ERPNext workflow.
